The “Book a demo” form
We use form details (practice name, email, name, phone, plan and message) only to contact you, arrange a demo and prepare a quote. Legal basis: steps at your request before entering into a contract (Article 6(1)(b) GDPR). We retain them for no more than 12 months after the last contact unless a contract is concluded. Recipients: email and web hosting providers [TO COMPLETE: legal review — list and registered offices]. Please do not include patient data in your message.
Visiting the website
The website uses no analytics, advertising or tracking tools. The hosting provider may process technical logs (IP address and request time) for security [TO COMPLETE: legal review — scope and retention period].
Data in KeepDent
The software and its database run on the computer at your practice. Stock, purchasing, usage and clinic performance data stays with you; your clinic is the controller of this data. Data leaves the clinic only when you enable it yourself: more accurate invoice recognition through Google Gemini (the document is sent to Google), off-site backup (an encrypted copy) or remote support (only with your consent for a specific issue). Only technical data (version, backup status, errors) is sent for licensing and software monitoring, without patient or stock data.
Treatment activity reports
If the clinic imports treatment activity from its practice software, KeepDent stores only a pseudonymised patient identifier (without a name or national identification number), age group and tooth number locally on the clinic’s computer for up to 24 months. This is used exclusively for aggregate reports.
Data processing agreement
When we help you with the software and may encounter your data, we act as a processor. You receive a data processing agreement with the contract, without having to request it separately.
Your rights
You have the right to access, rectification, erasure, restriction of processing, portability and to object. Email info@keepdent.eu. You may lodge a complaint with the Office for Personal Data Protection of the Slovak Republic (dataprotection.gov.sk).
